Please read the below terms and conditions carefully prior to your stay.

Making A Booking

You must be 18 years of age or over to book accommodation and stay at Woodland Chase.

The maximum number of guests per each accommodation is two adults.

It is strongly recommended that you are protected by travel insurance prior to making your booking, in case of unforeseen circumstances.

Booking Confirmation

When you submit a booking via our online booking system you will receive an automatic booking summary via email.

All emails will be sent to the address provided by you in the booking form. When you receive each email please check all details carefully and contact Woodland Chase immediately if you find any discrepancies.

Payment Methods

Payment must be made by debit or credit card via our automated online booking system.

Check In & Check Out Times

Your accommodation will be ready for you by 4pm on the day of arrival, and must be vacated by 10am on day of departure, unless you're checking out on a Sunday, in which case you don't need to leave until 4pm. Please notify Woodland Chase in advance what time you will arrive on the day of check in.

Accommodation Care

You agree to keep your accommodation clean and tidy and leave it in such condition at the point of departure. Any damages must be reported to Woodland Chase prior to your departure.

Accommodation left in an excessively dirty or inappropriate state may be subject to an additional cleaning surcharge.

Damages

Woodland Chase maintains a comprehensive inventory of all of the contents of each accommodation, both practical and decorative. Guests will be required to pay for any damage to such items and will be charged for any item that is removed or lost.

Pets

Pets are only permitted to stay at Crofter's Cabin on the Woodland Chase site. A flat fee of £30 must be paid in advance to cover additional cleaning costs.

A maximum of two well-behaved pets are allowed and we ask that you respect all property inside the cabin. Please do not allow your pet(s) into the bedroom, or on any of the soft furnishings provided and never leave your pet(s) unattended.

We ask that you do not let your dog off the leader unless in the gated garden area - we are a working farm and keep sheep and cows in the surrounding fields.

Before leaving, please make sure you clean up the garden area after your dog. 

Guests will be required to pay for any damage to items as a result of naughty or unwell pets.

Smoking

Smoking is not permitted inside your accommodation or outside on any wooden decked areas.

Smoking is permitted outside of the accommodation off decked areas whilst on the Woodland Chase site but guests must extinguish cigarette butts fully and dispose of them responsibly, into a bin.

Cigarette ends must not be left on the ground under any circumstances.

If it is evident that guests have been smoking within the accommodation, Woodland Chase reserves the right to charge for any fumigation required.

Care must be taken when smoking and disposing of cigarette butts especially in the warmer months as foliage can be flammable.

Candles

The use of candles beyond those provided (in hurricane lanterns only) is not permitted in your accommodation or anywhere on the Woodland Chase site. You must never leave candles unattended for any length of time.

The Stove, Fire Pit, Hot Tub & Other Camp Fires

To use the stove, fire pit and hot tub, guests are required to set and manage controlled fires. Guests must read the instructions provided in advance of using the stove, fire pit and hot tub and use all facilities responsibly.

Guests are not permitted to make camp fires anywhere on the Woodland Chase site.

Utilities

Should there be a failure in a utility or service (such as water, heating, electricity, sewerage) please notify Woodland Chase immediately and we will aim to restore the service/utility as quickly as possible.

Should any failure of service/utility provided by Woodland Chase extend beyond a 12 hour period from notification, compensation will be proportionate to the loss of enjoyment suffered, unless the reason for the failure in a utility or service is beyond Woodland Chase’s control.

Cancellation Policy

After you have placed your booking a grace period of 7 days applies (or 24 hours if your arrival date is within 4 weeks) to ensure you have understood these Terms and Conditions and have read them thoroughly. During this period you may amend or cancel your booking and receive a full refund.

In the event you need to cancel your booking after the grace period, the following applies:

  • Bookings cancelled 10 weeks or more prior to arrival date will receive a full refund;
  • Bookings cancelled more than 5 weeks prior to arrival date forfeit 50% of the full booking price;
  • Bookings cancelled with less than 5 weeks prior to arrival date receive no refund.

If we manage to resell your holiday dates we will be happy to refund you the full amount minus a £30 administration fee.

If you are unable to travel due to personal illness (e.g., Coronavirus or other sickness) our cancellation policy above will apply.

Woodland Chase must be notified in writing should you need to cancel your booking.

Woodland Chase reserves the right to cancel bookings at any time if guests are found to be disruptive, rude, obstructive, abusive and/or break these Terms and Conditions. In such circumstances, guests will be required to vacate the accommodation immediately and no refund will be payable to the guests for the unexpired part of their stay.

It is strongly recommended that you are protected by travel insurance to cover the above costs.

Booking Amendments

After the grace period has expired any requests to rearrange your booking will be at our discretion.

We regret that any request to amend booking dates within 5 weeks of your arrival date will not be permitted unless the property has been re-let in which case 75% of any monies paid will be refunded. If you are no longer able to stay this will be classed as a cancellation as detailed above.

Safety

Woodland Chase provides woodland holidays adjacent to a genuine working farm in a countryside environment. This environment presents inherent risks, and these form part of the experience you are buying into when you stay at Woodland Chase.

Guests are not permitted to access the farm or surrounding fields due to dangers such as electric stock fencing and large farm vehicles.

Various animals inhabit the surrounding farmland such as cows and sheep. Woodland Chase prohibits guests from entering fields with animals in and from feeding them.

You are reminded of the higher degree of risk this environment presents and you should take appropriate and reasonable care for your safety and the safety of others at all times. This includes wearing suitable clothing and footwear for the terrain and weather conditions. You are responsible for your own safety.

Whilst Woodland Chase will endeavor to keep the steps and decking areas of all spaces clean, please be aware that when wet, the steps and decking areas can become very slippery. Guests must take care and hold onto the hand rails provided at all times.

Further, where the tree grows through the decking at the Treehouse, guests must be careful of the gap between the decking and the tree trunk.

Environmental Considerations

Woodland Chase is situated in woodland and farmland and accommodation has been carefully and considerately designed to provide maximum comfort to guests whilst respecting the surrounding wild environment. We kindly ask that you close the blinds as dusk falls and internal lights are switched on, to minimise the impact of lighting on wildlife.

Please be mindful that Woodland Chase is based in a hamlet with neighbouring properties nearby.

We ask that you keep noise levels to a minimum (including the use of music) when on the premises and likewise when you are entering and leaving your accommodation.

We have provided recycling bins for your waste and ask that you separate waste into these bins accordingly.

Personal Property

Woodland Chase will not be held responsible for any loss or damage to any property on the Woodland Chase premises. Vehicles, accessories and contents are left at the owner’s risk. It is recommended that your holiday insurance covers loss or damage to personal effects.

Items Left Behind

If the item left behind can be posted we will arrange its return to you, subject to a £10 administration fee plus postage and packing costs. If an item left behind cannot be posted then we will keep the item for 14 days to enable you to arrange collection.

Woodland Chase Glamping does not accept any responsibility for returning items of lost property.

Access & Parking

Woodland Chase is situated just off a narrow non-through road. Please drive slowly and carefully on this road and be considerate of neighbouring properties on your arrival and departure from the premises. Be mindful that pedestrians and farm animals use the road, including horse riders.

There is a parking area with sufficient parking to accommodate two vehicles visiting each space. In the event there is not enough space to park your vehicle on site, Woodland Chase will advise where to park the additional vehicle(s).

Please note that there is a short woodland path to each accommodation from the parking area.

The route to the Treehouse comprises a woodland path and a spiral wooden staircase. This staircase can become slippery when wet so guests must take care and hold onto the rope handrail at all times.

Availability

Each booking is made in good faith with the belief that your accommodation will be available to you on the date stated. If for any reason due to circumstances out of Woodland Chase’s control your accommodation is not available, we will refund your deposit and balance payment in full. You will have no further claim against Woodland Chase.

Adverse Travel Conditions & Inclement Weather

Woodland Chase holds no responsibility for guests unable to attend their retreat due to extreme weather or traffic conditions (i.e., snow, flooding, wind, road congestion etc.). If a guest is unable to reach Woodland Chase due to poor weather conditions or travel issues, they will lose their full payment and an alternative break will not be offered. Please ensure you have full travel insurance to cover such an instance.

Restrictions On Rental

Woodland Chase reserve the right to remove any person or persons from the accommodation due to unreasonable behaviour, or any behaviour that adversely impairs the enjoyment of other guests (including excessive noise), damage to the property or exceeding the stated occupancy. In such circumstances, guests will be required to vacate their accommodation immediately and no refund will be payable to the guest/s for the unexpired part of their stay.

It is a condition of booking that accommodation may only be occupied by the person named in the booking and/or their companion. Woodland Chase accommodation may not be sub-let to a third party. If this is found to be the case, the third party will have no legal right of occupancy and will be required to vacate the accommodation immediately.

Extraordinary Circumstances Affecting Your Stay

Woodland Chase accepts no liability for events prior to or during your stay totally beyond our control, e.g., destruction of property due to flood, fire, earthquakes or acts of nature; or if the property becomes uninhabitable due to irreparable damage or on Health & Safety issues that could not reasonably have been foreseen. In such cases refunds will be at the discretion of Woodland Chase.
